Recommended Servicing Schedules for Commercial Coffee Machines

If you run a café, restaurant, pub, or hotel, your coffee machine is one of the hardest-working pieces of equipment on the premises. And also one of the most neglected. I’ve lost count of how many service calls we’ve attended at John Street Beverage where the problem could have been avoided entirely with a proper servicing schedule in place.

After more than 40 years in the coffee industry, I can say with confidence that a well-maintained machine doesn’t just last longer. It makes better coffee, too.

Why Servicing Schedules Matter

A commercial espresso machine is under serious pressure, literally. The boiler, group heads, steam wands, and internal pipework are all working hard throughout the day. Without regular attention, limescale builds up, seals wear down, and the quality of your coffee starts to drop before you even notice.

Worse still, neglecting servicing can lead to costly breakdowns at the busiest times. I’ve seen businesses lose a full day of trade because a machine failed on a Saturday morning with no backup plan. A simple schedule prevents that.

Daily Tasks (Carried Out by Your Team)

Your staff should be cleaning the machine at the end of every shift. This includes backflushing the group heads with a blind filter and cleaning solution, wiping down steam wands after each use, emptying and rinsing drip trays and knock boxes, and purging the group heads before pulling each shot.

These are small habits, but they make a big difference. We cover all of this in our barista training courses, and it’s one of the first things we teach.

Weekly Maintenance

Once a week, your team should carry out a deeper clean. This means soaking portafilters and baskets in a dedicated cleaning solution, scrubbing the group head shower screens, cleaning the drip tray thoroughly, and checking the grinder for any build-up of old coffee oils.

If your machine has a built-in cleaning cycle, make sure it’s being run on schedule. It’s there for a reason.

Every Three to Six Months: Water Filter Replacement

Water quality is one of the biggest factors in both machine performance and coffee taste. In hard water areas, and much of the South East falls into that category, limescale can cause serious damage to boilers and valves in a surprisingly short time.

We recommend changing your water filter every three to six months, depending on your water hardness and usage levels. Our service department will discuss your specific needs and help you choose the right filter for your setup, then schedule the changes so you never have to think about it.

Annual Servicing

This is the big one. Every commercial coffee machine should have a full professional service at least once a year. During an annual service, our engineers will inspect and replace worn seals and gaskets, descale internal components, check boiler pressure and safety valves, test thermostats and heating elements, and carry out a general health check of the entire machine.

We schedule these in advance so they cause as little disruption to your business as possible.

Annual PSSR Certification

This is something a lot of business owners aren’t aware of until it’s flagged by an insurer or inspector. All commercial coffee machines with a pressurised boiler are legally required to have a Pressure Systems Safety Regulations (PSSR) inspection, sometimes called a Pressure Vessel Inspection. This is a formal safety check, and you’ll need up-to-date certification to satisfy your insurance provider.

We often carry this out at the same time as the annual service to keep things simple and reduce costs. Our engineers are experienced in working alongside insurance assessors to get everything signed off without fuss.

What Happens When Servicing Is Overlooked

I’ll be honest with you. The most expensive repairs we carry out are almost always on machines that haven’t been serviced regularly. Blocked boilers, failed heating elements, corroded valves: these are the kinds of issues that develop slowly over months of neglect, and they’re rarely cheap to fix.

On the other hand, businesses that stick to a proper servicing schedule rarely have emergency callouts. Their machines run better, their coffee tastes better, and they avoid the stress and lost revenue that comes with unexpected downtime.
